How WorkOffline keeps your emails on your laptop
Your emails are read only by the AI on your laptop. WorkOffline never sends your emails, attachments or tickets to us or to any online AI, including when web answers are switched on. Packed and saved emails are stored encrypted on your laptop, and only WorkOffline can open them. The one time an email leaves your laptop is when you choose to send one: WorkOffline hands your draft to your own mail app, and you press send.
Emails are some of the most private things on your laptop. So WorkOffline treats them differently from everything else: they are read only by the AI that runs on your laptop, and they never go online.
Who reads your emails
Only the AI model running inside WorkOffline, on your own laptop. It sorts your packed emails, writes short summaries, drafts replies, finds journey tickets and answers your questions about them. All of that happens on your computer, with or without a connection. No online AI service is involved.
What is stored, and how
- Packed emails (copies of recent emails from Apple Mail) and their attachments are kept in WorkOffline's encrypted store on your laptop.
- Emails you save into your WorkOffline folder are turned into encrypted .woemail files once WorkOffline has read them. Nothing is deleted, and only WorkOffline can open them. You can export a readable copy whenever you like.
- The encryption key is kept in your Mac's Keychain or Windows Credential Manager.
What never goes online
Your emails, their attachments, your tickets and anything the AI writes from them are never sent to us or to any online service. This is built into the app's code, not just a promise: the part of WorkOffline that talks to the internet refuses to send anything that came from your emails.
The one exception is when you choose to send an email. WorkOffline hands your draft to your own mail app, such as Apple Mail or Outlook, and it goes from there, exactly as if you had written it in that app.
Web answers and your emails
If you switch on web answers, WorkOffline can look up today's information online. To keep your emails private, web answers are turned off in any chat that uses your emails, and the app will tell you so.
How to check for yourself
Turn off Wi-Fi and ask WorkOffline about one of your emails. It still works, because nothing needs to go online. You can also open the Network activity page in the app, which lists every connection WorkOffline has made. You will not find your emails in any of them.
Frequently asked questions
Does WorkOffline log in to my email account?
No. On a Mac it reads the copy of your email that Apple Mail already keeps on your laptop, or emails you save into your WorkOffline folder. It never asks for your email password.
Can WorkOffline staff read my emails?
No. Your emails never reach our servers, so there is nothing for us to read.
Are my emails used to train AI?
No. The AI runs on your laptop and does not learn from your emails. Nothing is sent anywhere for training.
What about my Slack and Teams connections?
They only pause your notifications and set your status. They never receive your emails.
Do my saved emails sync to iCloud or OneDrive?
Saved emails become encrypted .woemail files. If your WorkOffline folder syncs, the files sync too, but they stay encrypted. Only WorkOffline can open them.
